The IUCN China Programme seeks to recruit a self-motivated professional for the position of Administration, Finance and Human Resources Assistant based in Beijing.

This position will directly report to Programme Coordinator, IUCN China and will provide administrative, financial, and human resourcing support to the IUCN China Office. S/he will be responsible for the smooth running of the day-to-day operations of the office. The specific duties will include;
Administrative Duties
• Managing travel arrangements (including visa and accommodation requirements) for IUCN China office staff;
• Organizing meetings, seminars and other events related to the programme including travel and accommodation for participants;
• Managing support staff (i.e. janitorial staff);
• Dealing with  visitors, queries, emails and telephone calls with appropriate actions and responses;
• Developing and maintaining a computerized mailing list, principal contacts;
• Manage the leave record for all IUCN China staff;
• Translate relevant documents from English to Chinese and vice versa and disseminate information on IUCN;
Accounting and Bookkeeping Duties
• Maintaining petty cash; which includes petty cash receipts, payments and reconciliation of petty cash account;
• Preparing cheques, cash flows and cash requests to meet office expenditures;
• Reconciling bank accounts of IUCN China Office;
• Assist ing in transfer of funds and developing a monthly information report;
• Tracking and advising on financial flows to ensure that income due is received and due expenditures are made in a timely manner;
• Sending monthly financial reports of IUCN China Office to Asia Regional Office and coordinating with ARO for info required for financial matters;
Human Resources Focal Point Duties
• Acting as human resource focal point in IUCN China office. Coordinating with Regional HR Unit for reports and information required for HR matters;
• Coordinating with CITDC to update, social benefit information; prepare forms and reports as needed;
• Preparing monthly payroll worksheet and coordinating with ARO HR and Finance for monthly payment;
• Providing assistance in recruitments for IUCN China programme, and in drafting contracts for local staff/ interns/ volunteers;
• Tracking the completion of Performance Appraisal and Individual Work Plan, and coordinating  the process with Regional HR Unit;
• Advising IUCN China staff on  all HR policies and procedures as and when required;

Position Specifications: The successful candidate will have a Bachelor’s Degree preferably in, accounting & finance, with relevant experience in human resources & administration. At least 3-5 years of relevant work experience in a similar organization. Fluency in spoken and written English is essential. S/he will also demonstrate strength in MS Office.  Demonstrated ability to work as part of a multicultural, multidisciplinary team is highly desirable.

This position is open for Chinese nationals only and is for a period of two years with the possibility of extension. This position is classified as A3 in our classification system and starting minimum basic monthly salary is CNY 12,364.
